For small UK landscaping and grounds-maintenance firms

Run the crews, the rota and the quotes from one place.

GroundHand was built by a working landscaping firm for its own crews. Now we are opening a free pilot to a small number of other firms.

The problem

Three versions of the plan, and none of them right.

If you run a firm of 3 to 25 people, you probably know this week.

Spreadsheets

The rota, the jobs and the quote calculator live in different files.

They drift apart. Someone has the wrong version open, and a quote is built on last year's rates.

WhatsApp

Changes of plan go out as messages.

Half the crew miss them. The group chat is also where receipts, photos and site notes go to get lost.

Paper

Timesheets and receipts ride around in the van door.

Then get typed up on a Friday night, if anyone remembers what the job number was.

See it working

From quote to paid invoice in about a minute and a half.

A quick tour with a voice-over, on invented data. It shows only what is built.

This is GroundHand. Jobs, rota, quotes and crew time, in one place.

Measure the patio, pick the slabs, and the price works itself out.

Email the quote, mark it accepted, and it becomes a job.

Materials come from the quote, labour from approved crew time, so you see the margin as you go.

Drag jobs onto the rota. Double-bookings and rain are flagged before you commit.

Crews work from a phone app. No signal? Carry on. It all sends when they are back online.

Clocking in takes two taps. The office approves, and corrections are kept with a reason.

Raise the invoice from the finished job, and send it through QuickBooks.

When QuickBooks shows it paid, you see it here too.

Built by a working landscaping firm, for its own crews.

Free for the pilot, then ninety-nine pounds a month.

Voice generated with ElevenLabs. Captions are in the player.

What it does today

One system for the office and the crews.

Everything below is built and in use at Green Palm. We list only what exists.

Office

Jobs and the rota

See the week by day, who is on which job, and what each job needs. You are warned when someone is double-booked or away.

Office

Quotes that become work

Price a job from your own rate card. When the customer accepts, it turns into a work item you can schedule and follow to the invoice.

Crew

A phone app for the field

Today's jobs, site access notes, clock in and out, checklists, photos and receipts. It works with no signal and sends when the phone is back online.

Crew

Time that adds up

Clocking in takes a couple of taps. The office reviews and approves, and can correct an entry with a recorded reason.

Money

QuickBooks, not double entry

Bring your customers across from QuickBooks Online, and raise invoices from finished work.

Kit and compliance

Vans, plant and spray records

MOT, tax and service reminders, crew fault reports, and a per-customer weed-spraying diary you can print.

Pricing

One simple price.

The pilot is free. After that, GroundHand is £99 per month, for the whole business.

  • Free for the pilot, and no card details taken
  • No lock-in: stop at any time and take your data with you
  • The same published price for every firm

After the free pilot

£99per month

for the whole business

GroundHand

£99 a month

The alternative

Other UK landscaping software can cost £250 a month or more.

Based on published UK prices of per-user job-management software for a 7-person team, October 2026. Prices vary by plan, team size and VAT.

Why it exists

Built by a landscaper, not a software company.

Green Palm Dundee Landscaping needed to get its jobs, rota and quotes out of spreadsheets. So the owner worked out what the firm needed, and a software builder in Dundee made it. The crews use it every day, so it has to be quick on a phone, outdoors, with gloves on.

Now we want to find out whether it works for other firms like ours. That is what the pilot is for.

Two landscapers trimming a tall beech hedge at a Scottish country house, one checking a phone.

Who it is for

Firms with a handful of crews and no appetite for enterprise software.

  • Landscaping and grounds-maintenance firms, roughly 3 to 25 staff
  • Maintenance rounds and one-off landscaping jobs, or a mix of both
  • You use QuickBooks Online, or are happy to
  • The office and the crews are at least a little frustrated with the current set-up

Not for you, yet, if you need multiple companies in one account, online payment collection, a customer portal or a native app store app. Those are not built.

We would rather say so now than after you have set up.

Join the free pilot.

We are taking a small number of firms. You get the Hub free for a few months, a named person to talk to, and a say in what we build next.
